TDK Ventures is seeking an Events & Community Associate to join our Scaling Team and to collaborate with the Ecosystem Principal to accelerate our growth and enhance TDK Ventures’ event and community-building efforts. This is an opportunity to work with an industry recognized, top-tier Corporate Venture Capital fund in Silicon Valley. The Events & Community building culminates in our annual marquee events that showcase the depth and breadth of TDK Ventures commitment to entrepreneurship, impact scaling and sharing knowledge to our peers and the community in meaningful and actionable ways. This role is crucial in orchestrating high-impact events that facilitate meaningful connections within our ecosystem of portfolio companies, investors, and industry leaders, ultimately building a trusted and sustainable equal-win collaboration with them. In collaboration with the Ecosystem Principal the general duties will include but are not limited to:


Key Responsibilities:

Event Strategy & Execution: Develop and execute a comprehensive events strategy that aligns with TDK Ventures’ investment focus and community-building objectives. Manage a range of events, including marquee events + smaller curated bespoke gatherings and portfolio showcases. Design event themes, agendas, and formats that appeal to target audiences and stakeholders. Conduct research on industry trends and competitor events to create unique and impactful experiences.
Community Building: Foster a sense of community within our network of portfolio companies, and industry partners through thoughtful event curation and engagement strategies. Facilitate connections and knowledge sharing across the ecosystem.
Stakeholder Engagement: Collaborate closely with coordinate with internal teams such as marketing, investment and engagement teams to ensure event success. Serve as a key point of contact for portfolio company founders, industry partners, and internal stakeholders.
Vendor and Venue Management: Identify, negotiate, and secure venues that match the prestige and scale of the event. Manage relationships with vendors, including caterers, AV specialists, decorators, and entertainment providers. Ensure all vendor agreements are in place, with clear expectations regarding quality, delivery, and budget.
VIP and Stakeholder Coordination: Coordinate the participation of VIPs, keynote speakers, and special guests, ensuring their needs are met and experiences are seamless. Develop and manage invitation lists, seating arrangements, and personalized experiences for high-profile attendees.
Budget and Financial Oversight: Create and manage event budgets, ensuring all financial aspects are meticulously tracked and reported. Make strategic decisions on where to allocate resources for maximum impact and return on investment. Monitor expenses and negotiate contracts to ensure cost-effectiveness while maintaining high standards.
On-Site Event Management: Oversee all on-site activities during high-profile events, including setup, execution, and breakdown. Manage event staff, volunteers, and contractors to ensure smooth operations. Act as the primary point of contact for all on-site issues, quickly resolving any problems that arise.
Post-Event Analysis and Reporting: Conduct post-event evaluations to assess the success of events against established goals and objectives. Gather feedback from attendees, stakeholders, and team members to identify areas for improvement. Prepare detailed summary of key outcomes, lessons learned, and recommendations for future events.
Marketing & Communications: Partner with the marketing and communications teams to amplify our brand and event presence across digital platforms. Help develop content that resonates with our audience and enhances visibility. Ensure that the event’s execution reflects the organization’s brand image and values. Represent the organization in all interactions with guests, vendors, and the media, maintaining a professional and polished image.


Qualifications and Preferred Experience:

Minimum of 5-7 years of experience in high- profile event management, community engagement, or a related role within venture capital, private equity, or the startup ecosystem.
Bachelor’s degree in Event Management, Hospitality, Marketing, Public Relations, or a related field. An advanced degree and /or certification such as CMP, CSEP are highly desirable
Proven track record of successfully planning and executing high-profile events such as corporate events, product launches, technology conferences, and VIP functions.
Ability to create unique, memorable experiences that align with the organization’s brand and objectives.
High level of professionalism and discretion, particularly when dealing with VIPs and sensitive information and the ability to remain calm and flexible under pressure, adapting to last-minute changes or unforeseen challenges.
Excellent verbal and written communication skills, with the ability to interact effectively with C-level executives, VIPs, vendors, and internal teams.
Proven ability to lead and motivate teams, including staff, volunteers, and contractors, to deliver high-quality events.
Exceptional project management skills with the ability to oversee multiple aspects of an event simultaneously, from concept to execution.
Experience managing budgets, vendor relationships, and logistics for events with significant visibility and impact.
Strong negotiation skills to secure favorable contracts with venues, vendors, and suppliers while maintaining quality standards.
Acute attention to detail, ensuring that all elements of the event meet the highest standards of quality and professionalism.
Strong problem-solving abilities to quickly address and resolve issues that may arise before or during events.
Proficient in event management software and tools, and platforms along with familiarity with CRM systems and project management tools.
Strong interpersonal skills, with the ability to build and maintain relationships with a diverse range of stakeholders. High EQ and a natural ability to build relationships within the startup and tech community.
Willingness to work irregular hours, including evenings, weekends, and holidays, as required by event schedules and ability to travel as needed for site visits, vendor meetings, and event execution.

COMPENSATION:

This position is based in San Jose, CA and the base annual salary/pay range for this role is between USD $110,000 and $150,000. The actual base pay is dependent upon many factors, such as: education, training, transferable skills, work experience, business needs, work location, market demands, etc. The base salary range is subject to change and may be modified at the Companies discretion. The role may also be eligible for variable bonus programs and benefits.
